Usage guide

This is a guide for using Nippon Rent-A-Car.

1.Reservation

(1) How to make a reservation

  • 1: Internet...You can make reservations from the website on your computer or smartphone.
  • 2: Reservation Center...We accept reservations over the phone. (Toll-free number)
  • 2: Reservation Center... We accept reservations over the phone. (Toll-free number)
  • 3: Rental office...Please call or visit the location you plan to use directly.

(2) Regarding reservations

  • ・If you are a member of NIPPON Rent-A-Car 's NIPPON Rent-A-Car Members Club, please provide your membership number.
  • ・Depending on the number of license reissues, location may refuse to lend you a vehicle. For specific details, please contact location in advance.
  • ・Due to legal provisions, it is not possible to rent a vehicle with a driver, or to introduce or arrange a driver.

(3) Collection of Reservation Deposit

Reservation deposit may be charged at the time of reservation.

(4) Reservation cancellation fee

If you cancel your reservation, you will be charged the following reservation cancellation fee. If we do not hear from you more than one hour after your reservation time, we will treat your reservation as cancelled. In addition, if a reservation is canceled due to our reasons, or if a rental contract is not concluded, we will pay a penalty equal to the reservation cancellation fee. Please note that if you cancel your reservation on the same day, there will be no cancellation fee or penalty.

2.How to calculate the price

The usage fee when renting a car is determined by the following items.

(1) Calculation of basic charges

(1)About the basic fee (Rate course)

Services included in the basic price vary depending on rate course. We have " Recommended Course'' and "Regular Course'' available, so please select one before the time of rental.

  • *Changes can be made from the time of reservation, but rate course changes cannot be made after the rental procedure has been completed.
  • *If the customer (the lessee or the driver requested at the time of rental) causes damage to a third party or the Company due to an accident, the customer will be responsible for compensating the damage. In order to cover the liability for damages, NIPPON Rent-A-Car 's basic price includes insurance compensation up to the following limits for each course. However, the deductible amount will be borne by the customer.

① Roadside Assistance (5 free road services)

1) Coverage of tires and wheel caps
We will replace the tire with the spare tire installed in your vehicle on-site. Additionally, tire replacement fees and tire fees in the event of a flat tire, and hubcap fees in the event of a lost hubcap, will be waived.

  • *Vehicles without a spare tire will be towed free of charge to the nearest repair shop.
  • *We may require you to pay the tire change fee and tire purchase fee up front. In that case, we will settle the payment upon presentation of the receipt at location when return.
  • *If you wish to purchase new tires, please contact the pick-up location in advance.
  • *If you purchase new tires while using a rental car, you will generally be required to purchase tires that are equivalent to the damaged tires (if the cost exceeds that amount, the customer will be responsible for the cost).

2) Jump start
Connect the cables on site and start the engine.

  • *The customer is responsible for the cost of charging the battery or replacing the parts.

3) Refuel when running out of fuel
We will refuel on site.

  • *However, replenishment is limited to 10L, and free service is limited to once per rental. From the second time onward, the customer will be responsible for the cost.

4) Unlock a door at the time of lockout
We will open the lock on-site (excluding cases where we cannot confirm the key, such as inside the trunk).

  • *Only compatible with general cylinder keys when the key is in the car. Customers are responsible for the costs associated with transporting and unlocking vehicles that are difficult to unlock due to electronic locks or other specially constructed keys or anti-theft devices.

5) Lift vehicle when a wheel runs off outside from the road shoulder
We rescue derailed or stuck vehicles.

  • *Free assistance is limited to one time per rental.
  • *If any of the following conditions apply, a fee will be charged from the first visit onwards.
  • ・Pulling up and down vehicles with two or more wheels
  • ・Use a winch or crane

② Telephone guidance service in case of trouble

  • Gas station information
    *We will guide you to the nearest gas station based on your current location.
  • Road guide
    *If you get lost, we will guide you in the direction of your destination.
  • Rental car support
    *For those who wish to continue their trip, Nippon Rent-A-Car 's long-time operating network provides emergency loaner assistance (this may not be possible in some areas, time of day, or depending on availability).
  • Information on alternative transportation methods
    *If the rental car is not self-propelled, we will provide you with public transportation options to reach your destination. (Customers are responsible for all transportation costs.)
  • Accommodation information
    *If the rental car is not self-propelled and transportation is not possible at night, etc., we will guide you to the nearest accommodation (transportation, accommodation, etc. expenses will be borne by the customer).

③ Discount on Excess Hour Charge

If you are late for the pick-up return time due to traffic jams, etc., please contact location at least 1 hour before the scheduled return time and the overtime fee for up to 3 hours will be halved.

  • *Does not apply if the usage period changes beyond 3 hours.
  • *Not applicable to some travel products and coupons.
  • *Applies to basic charges only.

④ Halfway Cancellation Charges fee

If you return in the middle of the usage period, there will be no Halfway Cancellation Charges.

  • *If you wish to cancel mid-term, please contact the pick-up location for approval before return.
  • *Not applicable to some travel products and coupons.
  • *If the difference between the scheduled return time at pick-up and the actual return time is less than 24 hours, we will not refund the difference.

(2) About the compensation system

This is a system that compensates customers for property and vehicle deductibles in the event of an accident. However, if multiple accidents occur during the same rental, only the first accident will be covered. Please apply at the time of rental.

  • *You cannot join or cancel the subscription after the rental procedure has been completed.
  • *Please let us know who will be driving the vehicle at the time of rental.

  • *If the renter or the driver requested at the time of rental has had an accident in the past and is deemed unsuitable by our company, we may decline participation.

This is a system that compensates customers for NOC (details will be explained later) in the event of an accident or breakdown.

  • *You cannot join or cancel the subscription after the rental procedure has been completed.
  • *Please let us know who will be driving the vehicle at the time of rental.
  • *If the renter or the driver requested at the time of rental has had an accident in the past and is deemed unsuitable by our company, we may decline participation.
  • *This does not apply to NOCs caused by theft, defacement, or odors that are not our responsibility.

Subscription fee

440 yen including tax/1 day

  • *Subscription fees for rentals up to one month are calculated based on 15 days.

<About insurance/compensation systems, CDW, and ECO exemptions>

When using a rental car, customers must comply with the rental terms and conditions. The customer will be responsible for any damage caused by accidents caused by the following driving or conditions: In this case, we will decline the application of the above-mentioned insurance/compensation system, CDW, and ECO included in the basic price. When the Company has paid the damages to be borne by the customer, the customer must immediately pay the amount to the Company.

■If the prescribed procedures such as contacting the police and our company are not taken from the accident scene.

Regardless of the size of the damage, the presence or absence of the other party, and the perpetrator/damage, please contact the police and our company from the spot.

■If there is a violation of the rental terms and conditions

Violating laws such as the Road Traffic Act, drinking or using drugs, extending the rental period without permission, driving by someone other than the renter or the driver requested at the time of rental, sub-renting, driving without a license, reckless driving, or using the rental car in violation of public order and morals. In the event that we are unable to obtain your cooperation in resolving the accident, etc.

■If the insurance policy or compensation system falls under the exemption grounds, or if the payment is excluded, etc.

Damage caused intentionally, alcohol, drug use, punctures, damaged tires, lost hubcaps, etc. Also, damage caused to property owned, used, or managed by the customer (renter or driver).

■If there is a fault in use or management

If the car is parked with the key left in the vehicle and theft occurs, loss of the key, damage caused by troublesome parking, etc., damage to interior equipment, stains and odors (including smoking in a non-smoking vehicle), loss of equipment, handling and installation. Damage due to defects, incorrect refueling, damage caused by driving on roads other than roads such as coasts and riverbeds, etc.
*If the key is lost, the customer will be responsible for the key itself and the actual costs incurred by our company to deliver the key.

(3) About options

■GPS

GPS are standard equipment (free of charge) on all cars with some exceptions. For operating instructions, please contact our location staff at the time of departure.

■Child seat

According to the Road Traffic Act, drivers are required to use an infant support device (child seat) when carrying an infant under the age of 6. Rental cars cannot be rented if a child seat is not provided. Please make a reservation or bring your own.
(Optional fee: 1,100 yen including tax/1 rental)

  • *It is the customer's responsibility to fit the child seat, and even if a staff member assists, the customer is asked to confirm that it is safe.
  • *We are not responsible for accidents caused by improper installation of child seats.
  • *If the child seat is damaged or lost due to customer carelessness in handling or management, we may ask you to pay for the cost.
  • *Please note that we cannot judge the suitability of the products you bring to your child.

■Pet companion (excluding assistance dogs and care dogs)

A reservation is required if you wish to bring your pet along. When making your reservation, we will inform you of the restrictions, conditions and rules for traveling with pets, and you can only bring your pet along if you agree to this. If you do not have a reservation, we may refuse the rental.
(Optional fee: 550 yen including tax/1 rental)

We have options such as "winter tires," "sheets," "ropes," and "trolleys." Please inquire at the time of reservation for details on optional fees, etc.

(4) One-way rental

Returning location to a different location than the one you rented it to is called "one-way rental." When using one-way rental, a drop-off fee will be charged in addition to the rental fee. The One-way fee is calculated based on the distance between location (excluding some areas). Please check the website for details on One-way fee and one-way rentals.

  • *Reservation is required for use. Even if you request it at the time of rental, you may not be able to use it.
  • *Depending on the location and environment of the office, one-way rental may not be available at some offices.
  • *One-way rental is not available for microbuses, trucks over 3 tons, and specially equipped vehicles.
  • *If you wish to change the return location after you have started using the vehicle, you will need the approval of the departure location and a drop off/drop off fee will be charged.
    In this case, the designated handling fee will be charged, even if the One-way fee is free, unless the passenger is returned to the departure location.

3.Rental

(1) Things to prepare

■International driving permit under the Convention of Road Traffic on Sep. 19, 1949

■Authorized Japanese Translation for driver's license issued in: Switzerland, Germany, France, Taiwan, Belgium or Monaco

■International driving permit:(Convention of Road Traffic on Sep. 19, 1949(Geneva Convention))

When driving with an international driving permit:

You will be required to present both passport from your home country and your international driving permit.

Caution:

  • *International driving permits are only valid for one year from the date of issue (please confirm the date of issue on your permit). Additionally, international driving permits are only valid for one year from the date of entry into japan (date of entry can be found in the immigration stamp in your passport).
  • *However, persons on the basic resident register who leave Japan and subsequently re-enter the country within less than 3 months, will not have their date of entry (the start date for driving eligibility in Japan).
  • For whom who reside in Japan with international permit, please refer to website of National Police Agency. For details, see here.
  • *International driving permits acquired from signatory countries to the Paris Convention (1926), Washington Convention (1943) or Vienna Convention (1968) are not accepted.
  • *A stamp is required for D box is required to driver vehicles with more than 9seats (including the driver's seat). (Applicable vehicle types: W-B Class or larger minivans, microbuses, etc.)
  • *International driving permits issued in Japan are not permitted to drive within Japan.

■Authorized Japanese translation

If you have a driver's license issued in Germany, France, Switzerland, Belgium, Taiwan or Monaco, you are required to present your original driver's license, the authorized Japanese translation and your passport.

Translations are valid for one (1) year from the date of entry into Japan. Please present your passport so we can confirm the date of entrance.


●Authorized Japanese translation of the driver's license should be issued by the respective country's embassy or consulate in Japan or by the Japan Automobile Federation (JAF).

●For Taiwanese licenses, a Japanese translation of the driver's license should be issued by the JAF or the Taiwan-Japan Relations Association.

Please present the driver's license of all persons driving. The driver's license must be valid in Japan and valid for driving the rental car you are using.

(2) Things to check

  • ・To ensure the safety of our customers, we cannot allow more people on board than there are seat belts. Please refrain from riding in seats that do not have seat belts on some microbuses and vans.
  • ・At the time of rental, we will check the usage status and provide advice on safe driving.
  • ・If you need to display a "beginner mark" or "elderly driver mark," please display the applicable mark when driving.
  • ・Please be sure to carry the rental car contract (rental certificate) during the rental period.
  • ・The customer will be in charge of the rental vehicle, including securing storage space and daily inspection and maintenance during the rental period.

(3) Payment method

As a general rule, please pay with a credit card affiliated with our company. If you wish to pay in cash (including car rental points, electronic money that can be used at Nippon Rent-A-Car, debit cards, etc.), please make sure to confirm either 1) below when using S-D Class or larger passenger cars, W-B Class or larger wagons, T-D Class or larger and R-E Class or larger trucks and specially equipped vehicles such as refrigerator cars and trucks with power gates, microbuses, or 1) below when using other classes and models of vehicles. When using a vehicle other than the above classes and models, either 1) or 2) below must be checked.

  • *Debit cards and prepaid cards with Rakuten Edy and VISA/Master/JCB marks can be used.
  • *Cash payments may not be accepted depending on the region, time of day, vehicle type, etc.

  • *Documents marked with * among supporting documents must be issued within 2 months.

■About using Online Credit Card Payment

When making reservations from NIPPON Rent-A-Car official website or NIPPON Rent-A-Car app, you can use Online Credit Card Payment, which allows you to pay for the rental car using the credit card you registered at the time of reservation. 
The card that can be registered for Online Credit Card Payment is the credit card of the person making the reservation. Debit cards, prepaid cards, and other electronic money cannot be used.


(4) Winter tires and winter driving (November - April)

If you are driving on roads with ice or snow, make sure you have winter tires. Snow can fall everywhere except Okinawa and the southern islands, including cities such as Tokyo, Osaka, Kyoto, Nagoya, and Fukuoka.

Driving on icy roads without winter tires is extremely dangerous. Check the road conditions and weather forecast for your destination. When booking, please select the winter tire option if required.

What are winter tires?

Winter tires are made of special rubber that does not harden even at temperatures below 0°C, and are designed to transmit more driving and braking force to the road than regular (summer) tires.


Driving on snowy or icy roads with regular tires is extremely dangerous, so be sure to check the weather conditions carefully when driving in Japan.

*Even if you reserve a car with regular tires, we may not be able to rent snow tires in areas with snow due to weather conditions.

*Depending on the amount of snow, vehicles without snow tires may be prohibited from driving on some roads.

4 tips for safe driving on snow and ice

1. Gently and gradually press the accelerator pedal when standing up. If you press the accelerator suddenly, the tires may slip.

2. Do not suddenly change direction, brake, accelerate, or decelerate while moving. You may lose control and your car may spin out.

3. Ice may form even on roads with a small amount of snow. Be sure to increase your distance from the car in front of you.

4. When cornering, centrifugal force can cause you to spin, so slow down in a straight line before entering a curve.

4.In use

(1) Obligation to pay a fine when parking illegally

If there is a parking violation while using a rental car, it is the customer's responsibility to go to the police station that has jurisdiction over the area, complete the prescribed procedures, and pay the fine immediately. When return the vehicle, please present the traffic violation notice and documents such as payment slips and receipts with a receipt stamp to location for confirmation. If you cannot present it (if we cannot confirm payment of the fine), we will charge you the following amount (parking fine):

  • *In this case, the full amount paid will be refunded by paying the fine after returning the rental car and presenting the traffic violation notice and the payment slip/receipt with the receipt stamp to the office. I will do it.

(2) In the event of an accident

In the event of an accident, stop driving immediately and be sure to take the following steps.

(3) About Non-Operation Charge (NOC)

In the unlikely event that the vehicle requires repair or cleaning due to an accident, theft, malfunction, defacement, odor (including smoking in No Smoking Car), etc. not attributable to our company, we will not be liable for any business compensation during that period. The following amount will be charged as part of the repair, regardless of the extent of the damage or the time required for repairs.

5.Return

(1) Excess charge

If you wish to change your plans or miss return time, please contact the pick-up location for approval in advance. In that case, you will be required to pay the excess charges specified in the price list upon return.

(2) Halfway Cancellation Charges

If you wish to cancel your contract mid-term, please contact the pick-up location for approval before return vehicle. In that case, the rental fee for the unused period will be refunded, but Halfway Cancellation Charges will be charged separately. Please note that if the difference between the scheduled return time at the time of pick-up and the actual return time is less than 24 hours, we will not be able to refund the difference.

  • *A separate reservation cancellation fee will be charged for microbuses.
  • *Consumption tax (including local consumption tax) is not charged for Halfway Cancellation Charges.

(3) Fuel

We will lend you a full tank, so please return with a full tank of fuel as specified by the car manufacturer. If you are unable to return the car with a full tank for some reason, we will charge you based on a separately determined kilometre conversion rate or the amount of fuel remaining on the fuel gauge. Please note that in this case, the charge will be higher than the actual amount of fuel used.

  • 2. The customer uses a rental car to transport passengers or cargo for a fee in response to the needs of others.
